2025 Dying to know day Expo - Stallholders EOI
Event description
All community members are invited to attend the Dying to Know Day Expo, featuring 40 stallholders, interactive activities, light refreshments, and a program of expert speakers. This year’s event will include language-specific sessions in Vietnamese, Chinese, and Arabic to better serve our diverse community.
The expo aims to demystify death and dying by creating an open, welcoming space for discussion and questions about end-of-life matters. Encouraging these conversations helps individuals approach these topics with greater understanding and peace of mind.

Where: Fairfield Youth & Community Centre, 55 Vine St, Fairfield NSW 2165
Bump In: 8:00am (all stallholders)
Bump Out: 1:00pm (all stallholders)

A small fee of $100 applies for each stallholder to help cover event costs. This fee is waived for government and non-profit organisations.
Terms and Conditions
Thank you for your interest in participating as a stallholder. Please review the following terms carefully before submitting payment:
Stall Activities
Stallholders are encouraged to:Include staff proficient in community languages to engage a diverse audience.
Provide resources in English and relevant community languages.
Offer small giveaways to engage visitors.
Use pull-up banners or similar displays to attract attention.
Privacy Statement
By submitting your application, you consent to the South Western Sydney Local Health District (SWSLHD) collecting and using your information for event purposes. Providing this information is voluntary, but necessary to process your application. You may request access to your personal data held by SWSLHD.Application Process
Applications are reviewed by SWSLHD staff, who reserve the right to accept or decline any application based on completion, insurance documentation, location of operations, and timely submission.Stall Selection and Location
Stall locations and selection decisions by SWSLHD are final. Stalls cannot be transferred or sublet.Prohibited Items and Activities
The following are not allowed:Dangerous items (e.g., knives, replica guns, silly string, helium balloons)
Amplified sound or music at stalls
Games of chance, raffles, or political advertising
SWSLHD staff may remove any unsuitable items.
Bump In/Bump Out
Bump-in starts at 8:00am; all stalls must be ready by 9:00am.
A briefing will be held at 9:00am.
Bump-out begins at 1:00pm; early pack-up is not permitted.
Media Consent/Photography
Stallholders agree that photos taken may be used for promotional purposes.Access and Parking
Parking is available on street and at Makepeace Oval across the street. SWSLHD and Council are not responsible for traffic infringements or vehicle damage.Public Liability Insurance
Stallholders must hold public liability insurance of at least $20 million, valid for the event. The policy must match the business name on the application.Site Location and Power Access
Stall locations will be assigned by SWSLHD. No power supply is available; please bring battery-powered equipment if needed.Waste Wise Event
Polystyrene is prohibited. Stallholders are responsible for keeping their area clean and removing all rubbish. Balloons cannot be given away or sold.Health and Safety
Compliance with the Work Health and Safety Act 2011 is mandatory. No alcohol or smoking within 10 meters of the venue. Bringing a small first aid kit is recommended.COVID-19 Safety
Stallholders should not attend if unwell and must practice good hygiene, including handwashing, according to NSW COVID-19 guidelines.Cancellations
Written cancellation notice must be given at least one week before the event. Late cancellations may forfeit the stallholder fee.Disputes
SWSLHD’s decisions on the day are final. Any disputes must be submitted in writing after the event.
