We are thrilled to welcome you to our vibrant community of vendors and participants. As a stallholder, you'll play a crucial role in bringing life and excitement to our festival. This event promises to be a celebration of diversity, culture, and creativity, and we are eager to see what unique offerings you will bring to the table.

Here are a few things to keep in mind as you prepare for the festival:

Stallholders Guidelines

  1. Setup Time: Stall setup is scheduled between 9am until 11am. And you are permitted to start business from 11am onwards.
  2. Pack Up Time: Stall pack-up is scheduled from 3pm to 4pm. During this time, ensure you leave your area clean and dispose of any waste in the allocated skip bins.
  3. Business Hours: Stallholders are encouraged to stay until performances conclude to support the artists. This shows respect for their hard work and enhances the event experience for attendees. Remaining on-site helps maintain a lively atmosphere, potentially boosting stallholders' business through customer interaction. 
  4. Certification and Insurance: All food stallholders are required to hold a valid Food Health Safety Certificate and maintain Public Liability Insurance coverage. This ensures adherence to health standards and protection against potential liabilities. Please be sure to upload a copy of these or email a copy to LeetonPrideFestival@gmail.com.
  5. Food Safety: To prevent food contamination, it is mandatory for food stallholders to have gazebos or tents covering their stalls and wear the appropriate PPE such as aprons, gloves and hair nets.
  6. Stall Mapping: It is crucial to follow the allocated stall mapping strictly. This helps avoid confusion and ensures stalls that require them have proper access to utilities.
  7. Power Requirements: If your stall needs power from nearby power points, please bring your own extension cables to ensure you have the necessary access.
  8. Vehicles: Vehicles may enter the park during setup time from 9am until 11am, but once the event starts at 11am. All vehicles must either remain secured/parked or leave the park.
  9. Pricing and Payment: Make sure all products have clear pricing and provide a transparent payment system for customers to facilitate smooth transactions.
  10. Belongings and Equipment: Stallholders are responsible for their own belongings and equipment. Please ensure they are secure and well-maintained.
  11. Deadline: Stall registration will close on the 30th of May 2025, to ensure smooth operation, please be sure to finalize your registration before the aforementioned date. This will give us time to plan your spaces and email the plan to you.
  12. Engagement: Consider interactive elements that will engage festival-goers and make your stall a memorable part of their experience. Whether it's a demonstration, activity, or sampling, these can greatly enhance visitor interaction.
