Refund policy

HPPC Refund & Ticket Transfer Policy (Australia) Effective date: 13 January 2026 Program: High-Performance Player Camp (HPPC) (the “Camp”) operated by The Solution Network Australia Foundation / associated entities (the “Organiser”). 1) Your rights under Australian Consumer Law (ACL) This policy is designed to be consistent with the ACL and does not exclude, restrict, or modify any rights you may have under the ACL, including the consumer guarantees that apply to services. If the Camp cannot be provided as promised, or there is a major failure in the service, you may be entitled to remedies such as a refund or cancellation of the service. Change of mind: Under the ACL, you’re generally not automatically entitled to a refund just because you change your mind. Where we offer options beyond ACL requirements (such as transfers or discretionary refunds), we will honour this policy as written. 2) Our preferred option: Ticket Transfer (participant-to-participant) We prefer ticket transfers over refunds whenever possible. You may transfer your Camp ticket to another eligible participant if: The replacement participant fits the relevant age group/program eligibility and safeguarding requirements. The replacement participant completes all registration requirements (forms, consents, medical info, emergency contacts, photo permissions, etc.). You notify us in writing by emailing info@solutions.org.au with: Original purchaser name + order reference Replacement participant full name, DOB, guardian details, and contact number The transfer is requested no later than 72 hours before the Camp start time (unless we agree otherwise due to exceptional circumstances). Important notes Any payment between you and the replacement participant is a private arrangement; HPPC does not broker resale prices or collect money on your behalf. The ticket is considered transferred only when you receive written confirmation from HPPC. If a kit has already been produced/allocated, we’ll make reasonable efforts to reassign it; however, size/name changes may not be possible at late notice. 3) Change requests (switching session/date/group) If you can’t attend your booked session, you may request to switch to another HPPC session/group subject to capacity and operational constraints. If approved, this is treated as a variation (not a refund). If the change creates additional costs (e.g., kit reprint), we’ll advise you before confirming. 4) Participant cancellation: refunds (where not required by ACL) If you choose not to attend (including change of mind), the following applies unless your ACL rights require otherwise: When you notify us (before Camp start): 30+ days: Refund of fees paid minus a $50 admin fee, or you may transfer the ticket 15–29 days: 50% refund, or you may transfer the ticket 1–14 days: No refund (transfer strongly encouraged) When you notify us (after Camp starts): No refund for non-attendance or missed sessions (see Serious Circumstances below) Why we keep some funds on late cancellations: Camps involve upfront costs such as venue hire, staffing, insurance, equipment, and kit ordering. Admin fees or conditions only apply to change-of-mind style cancellations (where a refund is not legally required) and are disclosed here in writing. 5) Serious circumstances (case-by-case support) If serious circumstances prevent attendance, we will assess a fair outcome case-by-case. “Serious circumstances” may include: Significant illness or injury (medical certificate or hospital documentation) Bereavement of an immediate family member Natural disaster/major travel disruption impacting your ability to attend Other exceptional situations at the Organiser’s discretion Possible outcomes (depending on timing and costs already incurred): Ticket transfer approval outside normal deadlines Credit toward a future HPPC event (generally within 12 months) Partial or full refund (less unavoidable third-party or already-committed costs, where applicable) To request consideration, email info@solutions.org.au as soon as possible with supporting information. We aim to respond within 5 business days. 6) If HPPC cancels, reschedules, or makes major changes If we cancel the Camp, you will be offered a full refund of fees paid (or you may choose to transfer/credit if you prefer). Where the Camp is rescheduled, you may choose to attend the new date or request a refund if you cannot attend the rescheduled service. These remedies align with consumer guarantee principles for services. If we make a material change (e.g., significant reduction in core inclusions, or schedule/location changes that substantially impact delivery), we will offer appropriate remedies consistent with the ACL. 7) Refund method and timing Refunds are issued to the original payment method unless otherwise agreed. Approved refunds are processed within 10 business days (bank processing times may vary). If your booking price is advertised “+ GST”, refunds are calculated on the amount paid (including GST where charged). 8) Disputes and escalation If you believe your ACL rights apply to your situation, please tell us in writing and we’ll work with you promptly and fairly. We do not use policies that misrepresent or remove consumer rights.
