Hello, and thank you for your support of the Louisiana Primary Care Association’s 43rd Annual Continuing Education Conference that will be held October 20th-23rd at the Astor Crowne Plaza in New Orleans, LA.

If you are a sponsor, an invoice for your sponsorship will be issued to the contact email address you provided in your application.

Frequently Asked Questions for Sponsors & Exhibitors

1. What does my Exhibitor Space include?

Whether you are registered as an Exhibitor or a Sponsor, you will receive an 8’x10’ exhibitor booth space complete with pipe & drape, a 6’ table, and two chairs. If more than 2 representatives will be in attendance, you will need to purchase an “Additional Representative” ticket. This helps us cover the cost of meals, breaks, and furniture rentals.

As an Exhibitor or Sponsor, you are invited to attend the General Session breakfasts and lunches as well as the Welcome Reception on Tuesday, October 20th and the Closing Lunch & Awards on Thursday, October 22nd. You are not invited to attend sessions unless your sponsorship specifies complimentary registrations or a Full Conference registration has been purchased.

You will also be listed in our conference booklet, in the app, and on our EXPO Hopper cards at no additional cost. Electricity is available at your booth as well upon request—please be sure that your registration includes electricity should you need it.

2. When should I arrive at the conference?

We ask that anyone participating in our EXPO arrives on Tuesday, October 20th, between 1:00 p.m. and 5:00 p.m. for Exhibitor Set Up. If you cannot make it during this time, the EXPO Hall will open to attendees at 7:00 a.m. on Wednesday, October 21st, and setup can be completed before that time.

3. When is Exhibitor Break Down?

Exhibitor takedown has been designated to end at 2:00 p.m. We ask that you do not start tearing down until 12:00 p.m. We understand that travel plans may cause you to need to leave earlier, but please let us know before you go!

4. What networking times are in the conference schedule?
LPCA values your support for our events, and we want to ensure you get the most out of the time you spend with us. While attendees frequently network between session, the following times have been designated specifically for networking:

Tuesday, October 20th
6:30 p.m. – 8:30 p.m. – LPCA’s Annual Welcome Reception
Wednesday, October 21st
7:00 a.m. – 8:00 a.m. – Breakfast Buffet & EXPO Hall Open
10:45 a.m. – 11:15 a.m. – Coffee Break with Exhibitors in the EXPO Hall
After 4:30 p.m. – Free evening! Plan an afternoon break or dinner!
Thursday, October 22nd
7:00 a.m. – 8:00 a.m. – Breakfast Buffet & EXPO Hall Open
10:45 a.m. – 11:15 a.m. – Coffee Break with Exhibitors in the EXPO Hall

5. Can I change the representatives I had previously registered?

Yes. You can make changes through your Pheedloop Exhibitor Portal once they are available. Access to the portal will not be available until July 2026.

6. Where and when can I ship items?

All items should arrive no earlier than 5 days before the conference. Shipments received prior will be subject to a storage fee. Large shipments can be delivered on Monday, October 19th in order to ensure LPCA staff are onsite to receive your items.

7. What size and format should conference program ads be?

For conference sponsors and those who purchase advertisements to be included in our conference program booklet, all ads can be submitted in .png, .jpeg, or .pdf. Sizes are as follows:

Full Page – 5.5” x 8.5”
Half Page – 5.5” x 4.25”
Quarter Page – 2.75” x 4.25”
